UCABA Board of Directors Nominations Open

The UCABA board is highly active and seeks committed volunteers who want to connect with like-minded alumni.  Nominate yourself for the board today the deadline is July 21, 2018.

For those who need a refresher on how our affinity group boards are structured, read on:

Each affinity group is lead by a national/global Board of Directors (elected) and a committee (not elected) who represent the geographical areas where the affinity group has a programming presence. Board of Directors may also chair and serve on metro committees where appropriate.

Ucaba Board Descriptions

 

President

The President shall be the principal executive officer and have general charge of the affairs of the Organization.  The President shall serve a two-year term, and then shall serve as Immediate Past President for the following one year unless the board allows a second and final term.  The President shall take office upon the adjournment of the final meeting of the calendar year of the outgoing UCABA Board.

Duties include:

  • Preside at all meetings of the UCABA Board and the members
  • Exercise general and active management of the business of the Organization
  • Ensure that all orders and resolutions of the UCABA Board are carried out
  • Develop and implement the Organization’s strategic plan
  • Approve members of advisory council
  • Empower and direct other members of the UCABA Board to fulfill their duties by working with and assisting the Committees of the Board
  • Develop leadership among the Directors and develop a leadership pipeline from the Metro Committees to the Board
  • Act as the primary advisor to the Fundraising Committee Chair in developing a fundraising strategy for the Organization
  • Develop alliances with other professional alumni organizations.
  • Serve as primary contact with the University of Chicago alumni office maintaining open lines of communication, to foster cooperation between UCABA and the University Alumni office; Represent the Board in communications with the Alumni Board of Governors
  • Encourage membership participation in UCABA
  • Create task forces and appoint members to carry out the business of the Organization
  • Provide detailed reports to the UCABA Board at each Board Meeting on all activities and initiatives in regards to the furtherance of UCABA goals.
  • Execute such documents as needed for the conduct of UCABA as authorized by the UCABA Board.
  • Represent the organization at meetings and/or events at which UCABA representation is requested.

Vice -President

The Vice-President shall serve in an active advisory role to the President and the Board of Directors and shall not have voting rights on matters decided by the Board of Directors. 

Duties include: 

 

  • Assist the President to develop and implement the Organizations strategic plan.
  • Ensure assigned committees are adequately staffed to perform their duties.
  • Assist the president with developing relationships with other professional alumni organizations as specified in the president position description.
  • Serve as a contact with the Alumni Association and maintain open lines of communicating.
  • Facilitate best practices and development of infrastructure for Metro Committees.
  • Facilitate communications among Committee chairs.
  • Substitute for the President as needed.

Secretary

The Secretary shall be ex officio clerk of the Board.  As member of the Board, the Secretary shall serve for a two-year period. 

Duties include:

  • Give notice of all meetings of Board of Directors and the members, unless notice thereof be waived.
  • Attend all board meetings and record all facts and minutes of all proceedings in books kept for that purpose.
  • Circulate a draft of such minutes for comments with the next meeting notification.
  • Give all notices that are required to be given to members and/or Directors.
  • Maintain a list of all current Directors with their contact information, date of election, expiration of Officer or Director term, and the leadership and committee roles each has served on the Board.
  • Maintain sole custody of all books, papers, records, correspondence, contracts and other documents belonging to the Organization in a location accessible to all current Directors and staff.
  • Serve as a second Head Administrator for UCABA’s website under the direction of the Communications Chair.
  • Substitute for the Communications Chair as needed.

Programming Chair

The Programming Chair shall assist the President in achieving the mission of the Organization.  As a member of the UCABA Board, the Programming Committee Chair shall serve for a two-year period. 

Duties include:

  •  
  • In early January begin working with university to plan and promote Alumni weekend events.
  • Coordinate the substance of programming generated among the Metro Committees.
  • Foster cooperation between Metro Chairs, Liaisons, and other regional groups inside and outside the University.
  • Ensure assigned committees are operating effectively under the mandate of the Board.
  • Lead the development of programming for Alumni Weekend.
  • Manage UCABA spending on events and assist Metro Committees and other regional programs with budget proposals.
  • Prepare an annual report of the progress of each assigned committee to submit to the UCABA Board.
  • Complete special projects as delegated by the President or UCABA Board.
  • Continuously update the UCABA calendar of past and future events.
  • Provide guidance if necessary to Recruitment Chair.
  • Substitute for the Vice-President as needed.

Fundraising Chair

The Fundraising Chair shall assist the President in achieving the mission of the Organization.  As a member of the Board of Directors, the Fundraising Chair shall serve for a two-year period. 

Duties include:

  • Act as the central leader, working closely with the President, for raising funds for the Organization.
  • Ensure assigned committees are adequately staffed to perform their duties.
  • Take the lead in fundraising for endowments to finance graduate and undergraduate educational scholarships.
  • Develop and work with the University Alumni Association for the creation of endowments towards the recruitment and retention of black professors.
  • Ensure assigned committees are operating effectively under the mandate of the Board.
  • Prepare an annual report of the progress of all fundraising efforts to submit to the Board of Directors.
  • Complete special projects as delegated by the President or Board of Directors.

Recruitment Chair

The Recruitment Chair shall assist the President in achieving the mission of the Organization.  As a member of the Board of Directors, the Recruitment Chair shall serve for a two-year period. 

Duties include:

  • Act as the central leader for activities addressing the University of Chicago current student community affairs encompassing recruiting, mentoring, and career development.
  • Partner with the Office of Minority Student Affairs (OMSA), OBS, ACSA, and graduate student organizations to create activities to connect current U of C students with U of C alumni.
  • Create standing committees, if necessary, and act as the central leader to develop Career Management and Mentoring, current student affairs and recruiting.
  • Appoint chairpersons to assigned standing committees, with the approval of the President; remove/replace chairpersons if necessary, with the approval of the President.
  • Ensure assigned committees are adequately staffed to perform their duties.
  • Ensure assigned committees are operating effectively under the mandate of the Board.
  • Prepare an annual report of the progress of each assigned committee to submit to the UCABA Board.
  • Complete special projects as delegated by the President or UCABA Board.
  • Serve as an Active member of the University of Chicago Alumni Schools Committee and encourage committee members to serve on that committee.

Communications Chair

The Communications Officer shall handle all external affairs and media of the Board.  As a member, the Communications Chair shall serve for a two-year period. 

Duties include:

  • Publish and manage non-ticketing content on UCABA’s website, as well as ticketing and registration for free UCABA events.
  • Follow up with persons planning free events about ticketing and registration data as needed.
  • Format mass e-mails, and send to the appropriate segment of the membership.
  • For free UCABA events published on the website, and for any events announced via e-mail, ensure that the event descriptions supplied by the planners address necessary details such as date, time, location, subject matter, admission price, registration procedure, contact information, and appropriate credit for any organizations or persons who are co-sponsors or primary organizers of the event.
  • Check for and moderate user-submitted posts and articles on the website.
  • Moderate posts on UCABA’s Facebook and LinkedIn groups.
  • Serve as Head Administrator for UCABA’s web presence.
  • Chair the Communications Committee.
  • Substitute for the Program Chair as needed.

Metro Chair

Metro Chairs shall lead the Metro Committees of cities or regions designated for representation and organization. The term of office as a Metro Chair is one Directorial term-year.

Duties include:

  • Set Metro Committees’ agendas.
  • Ensure that their Metro Committees accomplish the goals.
  • Coordinate as needed with Alumni Relations staff and with the Officers.
  • Coordinate with the Board on fundraising initiatives.
  • Report on local activity at each meeting of the Board and carry out requests from the Board.
  • Metro Chairs must be Directors who reside in the cities or regions that they represent.

Treasurer

The Treasurer shall be responsible for the funds and all financial documents of the Organization and shall ensure that funds are disbursed only upon authorization of the membership and/or the Board of Directors.  The Treasurer shall work with the Board of Directors to ensure that the Organization maintains a positive cash flow.  As a member of the Board, the Treasurer shall serve for a two-year period.

Duties include:

  • Maintain and supervise the Organization’s bank account.
  • Keep full and correct account of receipts and disbursements in the Organization’s books.
  • Serve as custodian for all financial records and bank account statements/correspondence.
  • Report financial status to UCABA Board
  • Ensure that federal and state tax returns are filed for the Organization and maintain Organization’s 501(c)(3) status, as necessary.
